The health and safety portal

The Health & Safety Portal is a public, read-only page each farm can publish for visitors, contractors and staff. It puts emergency information and the farm's H&S documents one tap away - typically by scanning a QR code at the farm entrance.

Opening the portal

A portal is reached at a unique URL of the form /health-safety/portal/[portalKey]. The portal key is generated by the farm and is the same one printed on its QR code or shared link.

For visitors and contractors

When you open the portal you'll see:

  • A welcome message and emergency contact numbers

  • A document library organised by category - PDFs, hazard maps and any documents the farm has published

No login is required for the public view, and any documents marked "staff-only" are hidden until you sign in.

Signing in as a visitor

Tap Sign in to record your visit. You'll be asked for your name, your role (contractor, visitor, etc.) and any acknowledgements the farm requires (for example "I [[company/agree|agree]] to the H&S procedures"). No password is needed - this is purely a visit log.

Staff login

Farm staff can use Staff Login to access internal documents that aren't shared publicly. Staff login uses a one-time code (OTP) sent to the staff member's phone or email. Once signed in, additional staff-only documents become visible.

For farm admins

  • Set the welcome message, emergency contacts and which documents appear in the portal from the H&S scheme

  • Print the QR code and place it where visitors will see it (gate, office, vehicle parking)

  • Review portal view counts to confirm visitors are using it

Tips

  • Keep emergency numbers up to date - they are the most-used part of the page

  • Mark internal SOPs as staff-only so contractors only see what is relevant to them

  • Review the visit log periodically to confirm acknowledgements have been collected
