Uploading and organising documents

The Document Vault is your farm's central file store. Agreements, soil reports, certificates, invoices, maps - everything lives here and can be linked to scheme requirements as evidence.

Uploading files

  1. Navigate to your farm's Vault page

  2. Click Upload or drag files into the upload zone

  3. Select one or more files from your device

  4. Files upload and appear in your vault immediately

Organising files

The vault supports categories and folders to keep documents organised. System categories are created automatically based on your schemes, and you can create custom categories for your own filing needs.

Finding files

Use the search bar at the top of the vault page to search files by name. You can also browse by category or scroll through the file list.

Tips

  • Use descriptive file names before uploading - "SFI-soil-sample-field-3-march-2026.pdf" is easier to find than "scan001.pdf"

  • Vault files can be linked as evidence to any scheme requirement, so upload documents once and link them wherever needed

  • Audio and video files are automatically transcribed after upload
