Evidence requests: collecting evidence from others

Sometimes you need evidence from contractors, advisors, or other farm workers who don't have Farmwalk accounts. Evidence requests create secure external access links that allow anyone to upload files directly to your scheme requirements.

Creating an evidence request

  1. Navigate to the scheme requirement that needs evidence

  2. Click Request Evidence

  3. Enter the email address of the person who will provide evidence

  4. Add instructions explaining what evidence is needed

  5. Set an optional deadline for submission

  6. Send the request

What the recipient sees

The external person receives an email with:

  • A secure link to upload files

  • Clear instructions about what evidence is required

  • The deadline (if set)

  • Simple upload interface - no Farmwalk account needed

How external uploads work

  • Secure access - Unique link that expires after use or deadline

  • Direct linking - Files are automatically linked to the correct requirement

  • Notification - You're notified when evidence is uploaded

  • No account required - External users don't need to register

Common use cases

  • Contractor work - Photos and reports from external contractors

  • Advisor evidence - Reports and assessments from consultants

  • Soil testing - Lab results from testing companies

  • Certification - Certificates from certification bodies

Managing evidence requests

  • Track request status from the requirement page

  • Send reminders to external users

  • Extend deadlines if needed

  • Cancel requests that are no longer needed

Security considerations

  • Links expire automatically after 30 days or when used

  • External users can only upload to the specific requirement

  • All uploads are logged with timestamp and source

  • Evidence still requires approval if your workflow requires it

Tips

  • Be specific in your instructions - explain exactly what evidence is needed

  • Set realistic deadlines - allow time for the work to be completed

  • Follow up if evidence hasn't been submitted close to the deadline
