Why is my evidence not linked?

Sometimes evidence appears in your vault but doesn't show as linked to scheme requirements, affecting your compliance score. Here are the most common causes and how to fix them.

Wrong agreement selected

Evidence must be linked to the specific agreement it supports:

  • Check you're looking at the correct scheme and requirement

  • Verify the evidence was uploaded against the right agreement

  • If wrong, remove the evidence link and re-add it to the correct requirement

File not in vault

Evidence must exist in your vault before it can be linked:

  1. Navigate to Documents & Vault

  2. Search for the file by name

  3. If missing, upload it first

  4. Then return to the scheme requirement to link it

Evidence needs approval

If your organisation uses evidence approval workflows:

  • Evidence shows as 'pending approval' until reviewed

  • Contact your farm manager or advisor to approve the evidence

  • Only approved evidence counts toward compliance scores

  • Rejected evidence will need to be replaced with acceptable alternatives

Parcel assignment issues

Evidence must be properly assigned to relevant parcels:

  • Check the scheme requirement is assigned to the correct parcel

  • Verify your evidence actually relates to that specific parcel

  • If evidence covers multiple parcels, it may need to be linked separately for each

File format not supported

Some file types cannot be linked as evidence:

  • Supported: JPG, PNG, PDF, DOC, DOCX, XLS, XLSX

  • Not supported: Video files, ZIP archives, executable files

  • Convert unsupported files to PDF or extract images before uploading

Troubleshooting steps

  1. Verify the file exists in your vault

  2. Check you're linking to the correct scheme requirement

  3. Ensure parcel assignments match

  4. Look for pending approval status

  5. Try removing and re-adding the evidence link

  • Use descriptive filenames to avoid confusion

  • Add detailed descriptions when uploading evidence

  • Double-check parcel references before linking evidence
